This Privacy Policy explains how we process personal data when you use our website or purchase products, book rental equipment, use services, or take out service subscriptions with us.

2) What data do we process?
Depending on how you use our services, we may process in particular:
a) Website & usage data
IP address, date/time, log files, browser/device information, referrer URL, pages visited.
b) Customer account & contact
Name, email, phone number, address, account and communication data (e.g. enquiries by email/phone/form).
c) Order & contract data (sales, rentals, services, subscriptions)
Ordered products, delivery/invoicing details, booking data (rental equipment, rental period), service/subscription data (service, appointments, term, interval), support and fulfilment information.
d) Payment/transaction data
Payment status, transaction references and billing information. Full payment details (e.g. card/bank account data) are generally processed directly by the payment service provider.
e) Deposit/damage/return information (rentals)
Information relating to the deposit (e.g. amount, status), return/condition information, and where applicable documentation of damage, missing accessories, or delays.
f) Marketing data (only where permitted)
Newsletter sign-up data (if used) and—only with consent—analytics/marketing data (see cookies).
3) Purposes & legal bases
We process personal data only where a legal basis applies:
a) Performance of a contract / pre-contractual steps (Art. 6(1)(b) GDPR)
Processing orders and bookings, delivery/collection, provision of rental and service performance, subscription administration, customer support.
b) Legal obligation (Art. 6(1)(c) GDPR)
Compliance with tax and commercial law obligations (e.g. invoices, accounting, retention).
c) Legitimate interests (Art. 6(1)(f) GDPR)
IT security, abuse/fraud prevention, technical stability/error analysis, quality improvement, establishment/exercise/defence of legal claims (e.g. in case of damage to rental equipment).
d) Consent (Art. 6(1)(a) GDPR)
Use of non-essential cookies/tracking (analytics/marketing) and, where required, newsletter/marketing. You can withdraw consent at any time (see section 8).
4) Cookies & tracking
We use cookies and similar technologies. Non-essential cookies/tracking (e.g. analytics or marketing) will only be activated once you have given consent.

5) Recipients / categories of recipients
We share personal data only where necessary for the purposes above, in particular with the following categories:
a) Shop/hosting/IT service providers
Providers supporting the operation of the website and webshop, hosting, maintenance, security and technical support.
b) Payment service providers
We use MultiSafepay to process payments. Transaction and payment information needed for payment processing, fraud prevention and settlement is processed for this purpose.
c) Shipping/logistics/collection providers
Providers for delivery, collection and status/appointment information (name, address, contact details, parcel/booking data).
d) Customer communication/support providers
E.g. email/support systems (where used) to handle enquiries and perform contracts.
e) Analytics/marketing providers (only with consent)
If you consent, data may be transmitted to analytics and marketing providers. Details are shown in the consent tool / cookie settings.
f) Service partners (service delivery)
Partners who perform on-site services. We share only the information required to deliver the service (e.g. name, address, contact details, service, appointment and notes).
g) OVDV BV (rental equipment operations)
For the operational handling and fulfilment of rental equipment, OVDV BV may receive necessary data (e.g. booking/appointment/equipment information, return/condition information, fulfilment details).
Role allocation (partners/OVDV BV): Depending on the arrangement, partners/OVDV BV act either as processors (Art. 28 GDPR—processing only on instructions) or as independent controllers (where they determine purposes/means). We ensure appropriate contractual and organisational safeguards in each case.
6) Transfers outside the EU/EEA (third countries)
Where we use providers that process data outside the EU/EEA, we ensure appropriate safeguards where required (e.g. EU Standard Contractual Clauses) and, where necessary, additional protective measures. Details may be provided in the consent tool and/or provider information.
7) Retention periods / deletion
We retain personal data only for as long as necessary for the stated purposes or as long as statutory retention periods apply:

9) Right to lodge a complaint
You may lodge a complaint with a data protection supervisory authority, in particular in Belgium with the Belgian Data Protection Authority (APD/GBA).

We implement appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access.

We may update this Privacy Policy (e.g. due to new processes or legal requirements). The version published on the website, with its date, shall apply.
